This Policy outlines the cancellation, refund, and general terms and conditions applicable to all the Australian Institute of Project Management (AIPM) services and products, including events (e.g., webinars, face-to-face sessions, workshops, summits, conferences, etc.), training courses and programs (e.g., self-paced, group, online, face-to-face, master classes, workshops, etc.), memberships (all levels), and certification (e.g., RegPM™ certification applications and applications) services. By engaging with any AIPM product or services, you acknowledge and agree to these terms and conditions.

1. Applicant and Participant Responsibility

1.1. When you register for any AIPM products or services, you are explicitly accepting the terms and conditions in this Policy.
1.2. You are responsible for making thoughtful decisions regarding all applications and registrations, taking into consideration your personal and professional circumstances. Changes to your personal or professional circumstances after payment are your responsibility and will not qualify you for a refund.
1.3. If you are registering on behalf of another, it is your responsibility to ensure that the person attending the program or using any AIPM product or service is aware of these terms and accepts them, and by completing the registration you are warranting that you have made the attendee aware of these terms and that they have accepted these terms.

2. Admission and Conduct

2.1. Participation in or access to any AIPM products and services—including but not limited to events, webinars, training courses, memberships, certifications, and conferences—is conditional upon full payment of applicable registration fees.
2.2. Registration is not deemed confirmed until full payment has been received by the AIPM.
2.3. Your confirmed registration entitles you to attend the relevant AIPM course, event, or conference. Any and all additional costs associated with your participation (including but not limited to travel, accommodation, meals, and personal expenses) are your sole responsibility. The AIPM bears no liability for such expenses.
2.4. The AIPM reserves the right to refuse admission to, or remove from an event, any participant whose behaviour is disruptive, inappropriate, or in breach of the AIPM’s Code of Conduct or any other policies and guidelines.

3. Fee(s)

3.1. All costs are in Australian Dollars (AUD) and include GST, unless explicitly stated otherwise.
3.2. The payment of the applicable fee(s) is due upon registration. If such payment is insufficient or declined for any reason AIPM may refuse to admit you to the program and shall have no liability in that regard.
3.3. All payments made for AIPM services and products including AIPM membership, RegPM™ certification applications and assessments, training courses and programs, events, webinars, workshops, master classes, conferences, and summits, are non-refundable once payment is made, unless explicitly stated otherwise in this Policy.
3.4. Fees are payable upon registration or submission and trigger administrative and operational processes that incur costs for the AIPM. Consequently, we are unable to accommodate any requests for refunds, unless explicitly stated otherwise in this Policy.

4. Products and Services Changes

4.1. You acknowledge and agree that AIPM, in its sole discretion, reserves the right to change any and all aspects of the AIPM products and services, including but not limited to, the events, training programs, membership, and certification services, without notice.

5. Cancellation and Refund Policy

5.1. General Terms

5.1.1. AIPM reserves the right to cancel any applications and registrations under the following conditions:

5.1.1.1. If the registrant is found to be in violation of the AIPM Code of Conduct and Ethics Policy, which includes but is not limited to behaviours deemed unprofessional, disrespectful, or otherwise in conflict with the values upheld by the AIPM.
5.1.1.2. If the individual or organisation is found to be in breach of the AIPM Conflict of Interest Policy – particularly in cases where a personal or financial interest may compromise their integrity or impartiality in relation to AIPM’s services, products, staff, or members.
5.1.1.3. If the individual or organisation fails to comply with any other relevant AIPM policies or guidelines that are essential for ensuring a respectful, inclusive, and professionally conducive environment.
5.1.1.4. Should a registration be cancelled under these terms, the registrant will be notified immediately and any applicable refunds will be assessed in accordance with the Cancellation and Refund Policy section of this Policy.

5.1.2. This policy is subject to the rights and remedies available to consumers under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)), which cannot be excluded, restricted, or modified. Where a registrant is entitled to a refund under the ACL (for example, due to a major failure), such refund will be provided in accordance with the law.

5.2. Events, Webinars, and Conferences

5.2.1. Events including webinars, workshops, and conferences will be held subject to sufficient registrations or other reasons. The AIPM reserves the right to cancel an event prior to commencement of the event. If an event is cancelled, registrants will have the opportunity to transfer their registration or be issued a full refund.
5.2.2. Participant cancellations made within 10 days of the event or non-attendance are non-refundable.
5.2.3. Participants acknowledge that AIPM reserves the right to request their removal from the Event if AIPM, in its sole discretion, considers the participant’s presence and/or behaviour to create a disruption or to hinder the Event and/or the enjoyment of the Event by other attendees or speakers.

5.3. Training Courses and Programs

5.3.1. All courses are offered subject to a minimum number of registrations being received. AIPM reserves the right to cancel any course at its sole discretion prior to the scheduled commencement date. In the event that AIPM cancels a course, registered participants will be offered the option to either transfer their registration to another scheduled course or receive a full refund of any fees paid.

5.3.2. For Virtual Classroom and In-Person Courses:

5.3.2.1. Cancellations received within ten (10) calendar days of the course commencement date will not be eligible for a refund. Cancellations made more than ten (10) days prior to the course commencement may be eligible for a refund, subject to AIPM’s discretion and any applicable administrative fees.

5.3.3. For E-Learning (Self-Paced) Courses:

5.3.3.1. As these courses do not have fixed commencement dates and access to course content is provided upon payment, no refunds will be issued once payment has been received and access to the learning materials has been granted.

5.3.4. Registration fees are non-refundable for non-attendance on the day.

6. Media Release

6.1. By attending or using the AIPM products and services, including but not limited to, the events, training programs, membership, and certification services, you acknowledge and agree to grant AIPM the right at the Event to record, film, photograph or capture your likeness in any media now available and hereafter developed and to distribute, broadcast, use or otherwise globally to disseminate, in perpetuity, such media without any further approval from you or any payment to you. This grant to AIPM includes, but is not limited to, the right to edit such media, the right to use the media alone or together with other information, and the right to allow others to use and/or disseminate the media.

7. Acknowledgment

7.1. By submitting an application or registration, you acknowledge and accept the above terms and conditions, including the non-refundable nature of fees regardless of any circumstances that may arise after your payment.
7.2. You further affirm that you will not make requests or expect refunds once your application is processed.
7.3. Before proceeding with your application or registration, we strongly encourage you to carefully read and understand the above terms and conditions. If you have any questions or concerns about the above terms and conditions, we encourage you to contact our support team for clarification before making your payment.

8. Privacy

8.1. AIPM maintains strict confidentiality and privacy policies regarding personal data. Full details can be found in our Privacy Policy.

9. Warranties and Limitation of Liability

9.1. AIPM provides no warranties regarding its services, events, or materials related thereto or offered at the training programs, events and, to the fullest extent possible under the laws governing this Agreement, disclaims all implied warranties, including but not limited to warranties of fitness for a particular purpose, accuracy, timeliness and merchantability. Neither AIPM nor its affiliates can accept any responsibility or liability for reliance by you or any person on any aspect of the training program, event and/or any information provided at the event or training programs.
9.2. Neither AIPM nor its affiliates shall be liable for any direct, indirect, special, incidental, or consequential costs, damages or losses arising directly or indirectly from any event, service, or product.
9.3. The maximum aggregate liability of AIPM for any claim (including any negligent act or omission) is limited to the amount paid by the participant for the specific service or event in question.
